Rigid, Unhelpful Response to a Clear Accidental Renewal on Unused Account

We accidentally renewed an annual Ontraport subscription on June 10, 2025 — for a platform we had not used in months. The charge initially went through on an expired card, and when I updated my payment method on July 2, the updated card was charged. We only noticed this recently while reviewing unused business tools.

I reached out requesting a refund for the $792 annual renewal, explaining that the account had been inactive for months and unused during the new billing cycle. Despite the clear circumstances (zero usage, dormant account, accidental renewal), Ontraport refused to make any exception.

Customer support pointed to a strict “no refunds” policy for annual subscriptions, regardless of usage or timing. Even after escalation, the response was the same: policy over customer relationship, policy over fairness.

We are a 501(c)(3) nonprofit organization and had hoped for a little flexibility and goodwill. Many SaaS companies make reasonable exceptions in cases like this — especially when the request is for an entirely unused renewal, not partial credit for used time.

Unfortunately, our experience has been rigid and unaccommodating. If you choose Ontraport, be aware:

No exceptions to the no-refund rule, even for unused renewals.

Updating a payment method counts as re-billing and locks you into the charge.

The focus is on enforcing policy, not building trust.

I gave two stars because, during the few months we did use Ontraport, I did encounter some helpful tech support agents. Otherwise, I had been hoping for much-needed upgrades to make the platform more functional for us. We might have considered returning in the future — but not after how we were treated during this request.

We’ve moved away from Ontraport and will not be returning. I’m sharing this so other small businesses and nonprofits can make informed decisions before committing to an annual plan.

To clarify for others reading your comment:
• Our account had been inactive for months leading up to the renewal.
• The renewal on June 10 went unnoticed because it charged an expired card. When I updated our payment method on July 2, the charge was processed.
• We reached out promptly after realizing this error. The account remained unused the entire time.

While I understand policies exist, what’s missing here is reasonable flexibility — especially for a 501(c)(3) nonprofit, asking for a refund on an unused, accidental renewal. Many SaaS companies are willing to make exceptions in cases like this. Unfortunately, Ontraport chose to enforce policy over customer relationship.

I want to be transparent for other small businesses and nonprofits evaluating this platform: if you make an error, even an obvious one on an inactive account, don’t expect grace or goodwill.

On June 10, your annual plan renewed.

On July 2, after you requested that we update your payment method, we refunded the original charge and processed the new card you provided.

On July 7, you requested a refund, which we respectfully declined, both through our support team and in a direct follow-up from our billing team.

Totally get how easy it can be to overlook a renewal, especially when a tool has not been in regular use. At the same time, requesting an updated payment method reauthorizes billing, and our annual plans offer discounted pricing in exchange for a full-year commitment. As is common across many SaaS platforms, these plans are non-refundable once a new term begins.

I’d give it a 1/2 star if I could, deeply disappointed

I am deeply disappointed with my experience on this platform. Despite enduring numerous challenges with Ontraport, I initially believed their promises that the system would seamlessly support my two businesses. Unfortunately, this turned out to be false and misleading.

Whenever I reached out for help via chat, I often found myself misled. It was frustrating to see my emails and workflows not align with how I wanted my business to operate.

Pricing is misleading too. I ended up with $350/monthly versus their original ‘sales tactic’ pricing. They lock you in and make it difficult to leave. They own everything. You get nothing after spending over 8k with them.

After two painful years of trying to make this work and giving them the benefit of the doubt, I've encountered yet another issue: they refuse to reimburse me for money owed. I paid for a full year, yet they owe me 90 days. I genuinely wanted to support this local company in Santa Barbara, but my experience has left me feeling let down. If I could give a half a star, I would, one star is generous.

they can't manage mailing list

As a customer, I tried to unsubscribe from unwanted emails but the 'unsubscribe" button was not working and had to email them.
After I sent an unsubscribe request email, they said I was subscribed but kept receiving the unwanted email.
Everytime when I received an unwanted email, I emailed them to unsubscribe me and they replied they did, but actually never stopped!
This is really frustrating and wasting my time.
If they manage a mailing list, unsubscribing should be easy and simple.

Every now and then this company just…

Every now and then this company just takes however much money they want from your bank, if you don't do anything they have free money, if you contact them you have to wait a number of days for the money to be returned to you. They break the law by taking more money from your bank than you agree to, find a different company that is more worthy of trust when it comes to your money.

Hello Frank. Looking into your account I can see that you went over your contact limit and were auto upgraded to a Plus plan (as per our policy). You did remove the excess contacts from your account but unfortunately didn't downgrade back to Basic before the billing cycle.

Please see our Fee Agreement (https://ontraport.com/legal#oa4a5f19963f2) for reference, which states that should your account exceed your current account limit of contacts plus object records with email address fields, user seats or emails, your service plan will either be upgraded automatically to the next most affordable account level or service package, or it will be billed for overages.

Given the situation we voided the transaction and remedied the situation the same day.

Additionally, because we voided charges for the Plus plan before they were settled (and then we re-billed at the correct rate) the funds were never removed from your account. Not sure what more we could have done here but please reach back out with any other questions you might have.

Been using Ontraport for over 7 years!

When we just started growing it was a big step for us, but wow, looking back, it has been an amazing tool.

A great user community and a product team that you can tell really cares about their product.

The stuff you can do with Ontraport blows me a way to this day. I would HIGHLY recommend this tool to any business person who wants to step up their business game.

Very Knowledgeable Agent. Great Experience.

I opened a chat about 12:30am my time. The agent I chatted with didn't seem to stick tightly to a script or canned answers. He made a video to walk me through a possible solution. Then discussed other possible solutions with me. He knew about every question I through at him without asking me to wait while he searched for the answer. Great experience!

Continued to bill after repeated downgrades

I used ontraport for years until I migrated everything to another platform. I decided to keep the service active on a lower monthly plan so we could migrate all records. Every month for the last 6 months, they have "automatically upgraded" my account without notifying me. This amounts to almost $3000 in additional charges. I have gone round and round with their support team. It's a shame that after paying this company thousands of dollars over the year and referring 100s of other customers, this is how they handle customer service. Unbelievable.

On March 29th, 2022 we informed you that you had greater than 2500 contacts which is the limit for the Plus plan and if you didn't remove them prior to your next billing date, 5/10/22, you would be charged at the Enterprise rate plus 1 contact overage package. In order to downgrade and maintain a Plus subscription level, you need to reduce the total contacts in your account below the the 2500 limit for the Plus plan.

Please see our Fee Agreement (https://ontraport.com/legal#oa4a5f19963f2) for reference, which states that should your account exceed your current account limit of contacts plus object records with email address fields, user seats or emails, your service plan will either be upgraded automatically to the next most affordable account level or service package, or it will be billed for overages.

We did in fact notify you and gave you notice to address the situation before you were charged.

Let me start off by saying that it's hard to find a brilliant CRM software that meets all your needs and also has impeccable customer service, or so I thought, then I met Ontraport and it was everything I had been looking for and so much more! 😁🙌😁

It has been a breeze using Ontraport...and getting things set up. Between all the tutorials they offer to the live help from their incredible staff, the migration experience for me has been absolutely fantastic! 💯

I gotta give a shout out to Rachel as she's seriously AWESOME!!! 👏 She is friendly, patient, caring, detailed, and very good at creating explaining videos so I could troubleshoot the areas I needed to work on or fix etc. I absolutely enjoyed chatting with her and we were able to accomplish a lot during our chat taking me from stuck and overwhelm to becoming stress free from all the progress I was able to make. It felt like I was in a VIP masterclass working with Rachel, she's seriously the BEST!!! ✨️😇✨️

Saif ended up taking over the chat for a bit so Rachel could eat lunch as we had been working together since the very early AM...bless her heart...again this is dedication and I truly appreciate the time and energy they both put in.

Saif was also very friendly & delivered top notch service as well!! 👏 We were able to finish up many things and he was extremely helpful in getting all my questions answered and he even jumped on to do a Screenshare with me right then and there to better assist me, that was amazing!!

Again it felt like a private workshop where I had hands on and eyes on guidance getting my business setup with them, and I couldn't be happier!! 😉

They also immediately got me in to do my first Onboarding session that afternoon with Danielle which was incredible...more screensharing guidance to get me to where I needed to be. Danielle is also super AMAZING!! 🙌

She followed up with me after and gave me plenty of links to check out and was detailed in notes we had discussed and sent over the recording so I could refer back to it for guidance later.

I tend to be a pretty meticulous type when it comes to all the details...so it feels great to know I have finally met my match with Ontraport because they truly don't miss a beat. From each person I've chatted with I continue to get blown away by the level of care and detail that's provided! You won't find this with most companies but you absolutely will with Ontra!! 🤗

Even the follow up from their tech guys who helped me out Josh & Russell also incredible experience with both of them! 👏

Then Dan who I did my biz strategy call with really took his time to understand me and my biz and present to future needs and was able to see my big vision I am creating in my biz and for the world. Dan had some great ideas for me and how to utilize Ontraport for my specific biz needs, connecting me with all the latest tools to get me there the fastest. Dan is a genius at what he does!! I feel blessed I was able to connect with him and learn so much!! 🙌

You can tell Ontraport has a ton of heart ❤️ in all that they do and you can feel this energy resonate through each person you connect with.

Typically in the past its been a bit of a dread chatting to customer service support and you may have to wait for email support which isn't hands on enough with other companies but somehow Ontraport knows how to make the experience more at ease and actually fun...and they're available for immediate chat and to screenshare to help you work through any issues you may be experiencing as they pop up.

After speaking with Rachael, Dan, Saif, Danielle, Josh, and Russell and other team members I am blown away by the high level of customer service and support...and this is all included I must add at no extra costs.

I had been looking at another crm and they wanted me to pay them thousands of dollars to set these things up for me and didn’t offer any DWY service...so I am thrilled I actually got to get things not only setup to a wonderful place but that I was able to learn how to do these things myself...it was a complete DWY service with Ontraport and already included at no extra fees.

I can't say it enough, just how happy I am I switched over to Ontraport, it's been awesome and their team is SUPERB!! 😁🦄👍

As a fairly new user of Ontraport, I am incredibly impressed not only with the comprehensive functions of the platform, but with the ease of accessing support. Every support request I've submitted has been handled quickly, professionally, and with great expertise. I've used the live chat, scheduled screen share support, and utilized the onboarding calls. In each case, the support person was friendly and knowledgeable, and able to walk me through each step patiently.
