Unfortunately, as these invites went unanswered, we were unable to provide the initial guidance intended for your application.

Our records show that your specialist, Emily, was working through a complex situation involving your previous visa, but we regret that this resulted in a lack of direct answers for you.

The "Two-Step" Process & Processing Times: The difficulty in providing a fixed timeline is due to a recent change in how the Chinese Consulate operates. They have implemented a mandatory Preliminary Review (COVA) system. We are required to submit your digital application first and cannot send your physical passport to the embassy for final issuance until the Consulate clears this initial stage. Because the Consulate controls this timeline, we are often at the mercy of their current volume, but we clearly should have been more transparent with you about this wait time.

Regarding the Upgrades and Shipping: Our team recommended overnight shipping because, under the new two-step system, every day counts. While we strive to ensure every traveler has a seamless experience, the final decision on visa dates and processing speed rests entirely with the Nigerian Issuing Authorities. Based on our records of your application, we would like to provide some context on the steps we took to assist you:

Immediate Action on Validity: When your first e-visa was issued by the authorities on October 27, we immediately noted that the expiration date provided by the government (January 11) did not cover your February travel. We contacted the authorities the very next day to request a correction.

Government Restrictions: The Nigerian Embassy informed us that a new application could not be processed while a "valid" one existed in their system. As a result, we had to wait until that visa expired on January 1 to re-apply for you, which our team did immediately on that date.

Persistent Follow-ups: Throughout January and February, our specialists (including Iryna and Aiko) sent multiple inquiries to the Embassy regarding the processing delay. We passed along the Embassy's requests for additional documents (like bank statements) as soon as we received them on March 11.

However, throughout the process our team sent multiple emails and calls clearly outlining the required documents and specifically requesting stamped bank statements, a complete itinerary, and accommodation covering the full duration of the trip. We also repeatedly noted that the documents provided were incomplete or not compliant with the consulate’s requirements and advised that the application package is incomplete.

Unfortunately, the requested documents were not provided in the required format prior to the appointment. While we do our best to guide applicants, the final responsibility for submitting complete and compliant documentation rests with the applicant, and visa decisions are made solely by the consulate.

Service vs. Government Fees: The initial fees paid to VisaHQ cover our professional consultation and document preparation services. As discussed during your intake, government visa fees and embassy appointment costs are separate charges mandated by the consulate, which we cannot pay out of pocket on a client's behalf.

Appointment Availability: While we assist in securing appointments, we do not control the embassy’s calendar. Unfortunately, some countries currently have no immediate availability due to high demand. Our specialists work to find the earliest possible slots as they become available.

We understand that the lack of immediate embassy openings is frustrating. However, this is a matter of government scheduling rather than a "hidden cost" or a lack of service on our part.
