A member of our management team has already contacted you directly this morning to resolve this matter personally.

Unfortunately, the doctor scheduled for the afternoon clinic was unexpectedly taken ill, shortly after the automated confirmation at 8:30am. As soon as we were notified, our team attempted to contact you by phone and email at around 10:15am. With that being said, we deeply regret that we were unable to reach you before your journey and fully understand how upsetting it must have been to arrive and discover your appointment had been cancelled.

Regarding your experience at reception, we are truly sorry if you felt unheard. Our team is guided to forward all patient concerns to our central support team. This certainly isn't meant to be dismissive; rather, it ensures that your feedback is received and addressed by the right person to investigate and resolve the issue appropriately. It is never our intention to leave any patient feeling unheard, and we sincerely apologise if you felt that way.

We understand the alternative appointment times we offered didn't work for you, and I can confirm that a full refund has now been processed for your appointment.

We completely understand how frustrating it must have felt to miss your appointment and not be able to reschedule or receive a refund. Our cancellation and rescheduling policy is in place because once an appointment is booked, the doctor's time is exclusively reserved for that appointment. Unfortunately last minute cancellations mean we are unable to accommodate other patients and the doctor must be fairly compensated for their time.

With that being said, we completely appreciate your situation and we regret that further flexibility was not offered to you at the time. We strive to accommodate our patients as best as possible so we're really sorry to hear that this was not your experience.

Thank you for taking the time to share your feedback with us. We’re really sorry to hear that you felt misled or let down during your recent visit — that’s never the experience we want for any of our patients, and we completely understand how frustrating and disappointing this must have felt.

To clarify, our “STI Screen” packages include a standard set of tests taken from one anatomical site only, unless specifically stated otherwise. For most male patients, this is typically a urine sample, and for most female patients, it’s a swab. While can carry out tests on additional sites, these are not included as part of the standard screen and are charged separately, as each requires specific lab processing. Please know that we take all patient feedback very seriously and we’re currently reviewing our booking journey and patient communications to make sure this is as clear and accessible as possible. While we make every effort to be transparent about our services and pricing, we would like to apologise if any part of this was unclear to you when booking.

We are also sorry to hear that when you raised your concerns in person, you felt your concerns weren’t fully addressed. While our healthcare assistants are here to help as much as possible, I'm afraid they are unable to process refunds or handle formal complaints directly. All complaints and refund requests, are handled at support@doctap.co.uk. That said, your feedback has been shared with the wider team so we can continue to improve the way we support and guide patients, especially in situations where something needs to be escalated.
