vcita is great. It's a one-stop shop for all our client management needs. My favorite features are: easy appointment scheduling, smart searches of contacts based on past transactions, and automatic invoicing and payments with low fees.

The platform is user-friendly and makes it easy for clients to book their own appointments, which cuts down on phone calls and back-and-forth emails. It has contributed to the success of our business by freeing up time and making our processes more streamlined and efficient. The integration with Zoom is also a huge plus. We highly recommend vcita for small teams looking for a comprehensive tool to manage their billing, clients, and appointments.

Vcita has been a game-changer for our business. We've been using it for three years now and it has consistently exceeded our expectations. The integration process was simple and seamless, especially for a non-techie like me. The automation and client portal has freed up so much of our time, and the frequent addition of new features keeps it up-to-date. The staff is incredibly responsive and the software is user-friendly. We've experienced a few outages over the years, but the team has always been quick to resolve any issues. And most importantly, the appointment-setting process is very easy for customers to use, thanks to its clean appearance.

Overall, we highly recommend Vcita as a small business app, for its ease of use, helpful features, and exceptional customer support.

Vcita has made accepting payments for my coaching business super easy. You can use their payment processor or any of the integrations (they support all of the big ones like PayPal and Square), online, on the phone, or in person. Before using Vcita I was using a competitor but they didn’t allow me to send invoices automatically after appointments. As a coach, a great deal of my business is recurring so this was a big problem 😂 Vcita handles everything to do with the payments, books, refunds, and notifications in one platform, and can do more things like appointment reminders and scheduling if needed. Easiest 5 stars ever!

vcita has been super helpful in all aspects of our business. There are three main things that I use:

Payment processing straight from our emailed invoices

Before using vcita, we had three separate tools that would handle each aspect of our business.

The monthly and per-transaction fees were eating us alive. vcita simplified this for us with one unified platform and billing system.

I actually don’t have Vcita. However, someone is attempting to use my email address and has tried to open an account with Vcita thru them. Now I am getting numerous emails from Vcita! When I have tried to contact them, there is no 800 number to call! And guess what? Only way to contact them is to sign into your account!! HELPPPPP! Will someone from Vcita PLEASE tell me how I get this resolved!!?

Vcita is terrible. You cannot edit invoices once they are sent (even if you delete a client and try to start over from scratch). It has too many unnecessary restrictions (for example you cannot put letters in to label your invoices, numbers only). You can't even put the same phone number in for 2 different clients (ie...if your client owns 2 different companies, he better have 2 different phone numbers and emails for each or you will have to leave those fields blank). Unless organization and accuracy are not important to you, it causes far more problems than its worth and definitely do not recommend it. I cancelled my subscription this morning.

I have used Vcita twice for two different types of business.
I purchased the $ 540 annual business suite (two different times, pre covid and then during covid).

It is a sufficient platform if you need online scheduling integration.
However the bulk mailer/marketing templates are limited:
You can not paste images anywhere but at the bottom of a newsletter or announcement page and the available fonts/layouts/etc are very limited (dated).

In my opinion, the templates they have are NOT great for creating an eye catching mailer, email letter or special offer.

ALSO note they only offer automatic "auto renewal" on their annual memberships. The only way to "turn off" the Auto renew is to "cancel subscription/cancel account"

In my experience I had to cancel an auto-renewal earlier than the contract date due to loss of business w/the pandemic. I needed to "turn off" auto-renew given my business finances at the time.

Again, the only way to do this was to "cancel account" - SO, even though I had paid up front for a year, and had over 2 months remaining on that paid service, they immediately cancelled the ENTIRE account and I could not use their service the last months I'd already paid for. (they do offer two months for Covid impact, but still do not allow for turning OFF the auto-renew without immediately cancelling the contract) given all that was going on, I had to take action and thus, they immediately cancelled my account.

Flash forward - after barely surviving Covid, a move, re-setting up my business online, making a new website to do that and weathering the pandemic, I used vita again (this time i realized it was not a match for me as I was no longer doing in-person scheduling of appointments and found out the mailer templates are too limiting, (compared to other mass-marketing platforms, NOTE: due to that i now use a different provider for email marketing)

BUT I DID, again, buy an annual business suite again.
Later, when I started using a different platform for my marketing (because the templates are much more customizable)I again did not want the auto-renew w/VCita (again).
Same thing happened, only option to tun off is to "cancel account"

So be aware, when you cancel auto renew, your whole account will be gone regardless of how long you pre-paid for up front.

Also the customer service is only within certain hours, via email. Hard to get a live person on the phone.

Vcita is good if you are doing in-person office hours and scheduling.
Not that great if you are more email marketing.
Not great if you do not want auto-renew
Works for some people, this is my opinion, based on recent experience

Been using vCita for 5+ years, its a decent all-in-one booking solution for small businesses. They claim that "platinum members can customize all emails" - this is NOT true. There are several emails that cant be edited, be aware of this if you are not a native English speaker. The support has always been terrible, at least for the past 2-3y. I really wish that I never chose vCita, transitioning my clients to a new system will be hard.

They keep sending advertising emails to my clients despite me being a white label partner. Pretty unprofessional as I pay 700 usd a year to keep their brand away from my clients. Recommended only for tiny businesses that doesnt require fast support.

I love Vcita. They really do care about customer satisfaction and are patient with you and are willing to help you with any questions you may have.
It is a very clever concept and I would highly recommend.

Vcita did finally answer after messaging the executives.
They offered a refund. So, this review has gone from 1 star to 3 stars. Nice they took care of the problem, but I would have liked to avoid any problems.

Decided that this wasn’t the best fit for my business, called my rep and sent several emails to cancel before trial ended, never heard back from anyone. Today was charged $540 without authorization. I used the contact@ email address listed here, still no response. Had to launch an investigation with my bank. What a scam!

Great app, excellent customer service

The system seems to be very robust and Has many fantastic capabilities. Even more incredible is the skill set and availability of my rep Bella, who knows the system very well and is able to coach me on how to best use the program!

The programme adds the functionality we need to effectively operate our service. We have easily linked the booking programme to our web site and is accessible by smartphones as well. Great stuff.

vcita has been the dedicated EMR for my practice since March 2020.
